We are seeking a detail-oriented and highly organized Transaction Coordinator to join our dynamic team at Elysian Homes by Mark Siwiec and Associates. The Transaction Coordinator will manage all aspects of real estate transactions from contract to close, ensuring a smooth and seamless process for our brokerage real estate agents and clients of our brokerage. This is a full time position with the majority of the work being completed on site are our offices on Monroe Avenue
Key Responsibilities:
- Oversee all administrative tasks associated with home buyer and seller transactions from contract to close using Real Estate Management Software
- Act as a liaison between real estate agents, clients, and mortgage brokers.
- Review all contract documents for accuracy and completeness.
- Maintain transaction files in compliance with state regulations.
- Monitor and manage transaction deadlines and ensure timely completion of all paperwork.
- Coordinate and schedule inspections, appraisals, and closings.
- Provide exceptional customer service to clients throughout the transaction process.
- This role will also support the administrative team through answering of phones, and support of other administrative Real Estate activities
- Track and report on key metrics related to transaction timelines and client satisfaction.
Specific Responsibilities:
- Document Management:
- Review purchase agreements, contracts, and addendums.
- Ensure all documentation is properly signed and uploaded to all required software systems
- Use the MLS, Transaction Desk, and Authentisign for managing documents and obtaining signatures.
- Handle various disclosure documents including Agency Disclosure, Fair Housing, Property Condition Disclosure, and Lead Disclosure when applicable.
- Deadline Monitoring:
- Track critical dates for each transaction (e.g., due diligence, financing contingencies, closing dates).
- Send reminders and follow-ups to agents and clients to meet deadlines.
- Communication:
- Maintain regular communication with all parties involved in the transaction.
- Provide status updates and address any issues or concerns promptly.
- Coordinate with attorneys, inspectors, and other professionals to ensure timely inspections and approvals.
- Coordination:
- Schedule and coordinate inspections, appraisals, and final walkthroughs.
- Liaise with title companies and lenders to ensure all requirements are met for closing.
- Compliance:
- Ensure all transactions comply with state and local regulations.
- Maintain accurate and organized transaction files for auditing purposes.
- Follow up on mortgage commitments, appraisal scheduling, and inspection reports.
- Post-Contract Tasks:
- Assist with obtaining necessary signatures for counteroffers and managing the communication of offers.
- Coordinate with buyers and sellers regarding proof of funds, pre-qualification letters, and deposit instructions.
- Ensure all contract documents are completed and forwarded to relevant parties, including attorneys and mortgage brokers.
Qualifications:
- Minimum of 3 years of experience as a Transaction Coordinator or similar role in real estate.
- Above average Microsoft Office Suite, specifically Excel a bonus
- Advanced proficency in CRM software such as sales force and familiarity with Real Estate software
- Strong knowledge of real estate transaction processes and documentation.
- Excellent organizational and time management skills.
- Ability to work under pressure and meet deadlines.
- Strong communication and interpersonal skills, including the ability to effectively communicate with attorneys, mortgage professionals, and clients.
- Detail-oriented and able to handle multiple tasks simultaneously.
- Positive team player with a willingness to learn and grow.
- Bachelor's degree preferred.
- Holding a current Real Estate license is not required but will strengthen candidacy.
