Celebrate the Children School is seeking a detail-oriented School Board Recording Secretary to manage and document Board meetings. This role involves scheduling, attending, and accurately recording meeting minutes, which serve as the official record for the Board. Meetings typically occur in the evenings, with 4-6 meetings anticipated per fiscal year, including both in-person and Zoom sessions. Please note: The hours for this position are not consistent on a weekly basis and are based on the scheduled Board meetings and/or emergency meetings, if necessary. This role is ideal for someone seeking supplemental income.

Key Responsibilities:

• Meeting Attendance: Arrive on time for scheduled meetings (in-person or via Zoom) prepared to take comprehensive minutes.
• Minute Preparation: Draft minutes within 2 days of each meeting and submit them to the Director of Finance and Executive Director. Finalize and send minutes to the Board of Directors within 5 days.
• Meeting Logistics: Host Zoom meetings, distribute links and agendas in advance. For in-person meetings, handle food arrangements and assist with clean-up.
• Confidentiality: Maintain discretion and professionalism regarding all meeting content.

Qualifications:

• Education: High School diploma or GED required. Experience in public agency minute-taking is preferred.
• Skills: Strong note-taking abilities, knowledge of English grammar and spelling, familiarity with school/board procedures, and proficiency in Google Workspace and Zoom.
  • Prior experience supporting or working with a Board of Directors is a huge plus!
• Abilities: Ability to work independently, follow instructions, and complete tasks efficiently. Excellent organizational skills and discretion required.
• Additional Requirements: Valid driver's license and access to an automobile. Ability to lift and carry objects as needed, operate a keyboard efficiently, and handle moderate physical tasks.

Physical Requirements:

• Moderate physical effort, including manual dexterity and occasional lifting.
• Efficient keyboard operation and manual manipulation required.
