We are seeking a highly organized and motivated Real Estate Executive Assistant to provide comprehensive administrative support to our real estate team. The ideal candidate will have excellent communication skills, be detail-oriented, and possess a strong understanding of the real estate industry. The Real Estate Executive Assistant will work closely with our executives to manage daily operations, coordinate appointments and events, and assist with various administrative tasks to ensure smooth and efficient operations. The candidate should ideally excel at Organization Customer/Vendor Service to join our real estate development company and help us manage our office and support our management/ownership team.

Compensation:

$23 - $28 hourly

Responsibilities:
  • Creating deal/development files following up managing vendors and some tenants
  • Provide administrative support to our executive, including managing the project calendar, general project coordination, scheduling appointments, arranging meetings, and coordinating travel arrangements
  • Basic financial tracking of expense billings
  • Assist with creating and maintaining checklists/systems of real estate development projects, including preparing project documentation, managing project timelines, coordinating with contractors, architects, and other stakeholders, and tracking project progress
  • Prepare and edit documents, emails, correspondence, and reports, and maintain accurate records and files
  • Prepare and edit documents, correspondence, and reports related to real estate development, including project proposals, financial analyses, and investment summaries
  • Perform general administrative tasks, such as answering phone calls, managing emails, and organizing files
  • Assist with marketing and advertising activities for real estate development projects, including creating marketing materials, coordinating with marketing teams, and managing project websites and social media accounts
  • Coordinate and organize events, such as project site visits, investor meetings, and team meetings
  • Anticipate the needs of the President of the company
Qualifications:
  • Impeccable time management skills, organizational skills, interpersonal skills, and communication skills
  • Experience using Microsoft Office
  • Comfortable meeting deadlines and handling confidential information
  • 2 or more years as an assistant, executive assistant, or in a position performing supportive duties
  • Must have graduated high school or received an equivalent certificate of completion
