Job Details POSITION SUMMARY:
Under the direct supervision of the Controller, the Payroll Administrator will process weekly payroll and maintain employee time records.
ESSENTIAL FUNCTIONS & BASIC DUTIES:
- Timely processes weekly timecards ensuring information is entered correctly into iSolved payroll system.
- Onboard new hires ensuring all documents are filled out correctly and paperwork filed within 5 days of new hire date.
- Review and update payroll profiles for employee changes, new hires, and terminations.
- Maintain employee files (electronic and paper).
- Process all benefits enrollment forms and terminations, including Medical, Dental and 401K.
- Enters, maintains, and/or processes information in the payroll system; information may include employees hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information.
- Ensures proper processing of payroll deductions for taxes, benefits and other deductions.
- Implements, maintains, and reviews payroll processing and accounting systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
- Prepares and maintains accurate records and reports of payroll transactions.
- Ensure strict confidentiality of all employee files, compensation, bonuses, payouts, reimbursements, employment status, etc. These matters may only be discussed with your direct supervisor or whoever your supervisor delegates.
- Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
- Provide administrative support in order to ensure effective and efficient office operations.
- Reconciles benefits, advances and loans weekly to the payroll system.
- Reconciles advances and loans to the general ledger monthly.
- Maintains employee advances and loan documents.
- Processes and corresponds to state agencies to ensure proper information is filed, such as unemployment benefits, garnishments, WC claims, etc.
- Issues, or reissues, physical or replacement checks or direct deposits due to payroll errors or final discharge.
- Reviews and prepares employee expense reimbursements ensuring they are properly coded and posted weekly. 19. Prepares annual filings for review for ACA, EEO, OSHA , etc.
- Responsible for health insurance enrollment for new and ongoing employees.
- Maintains injury claims for WC and follows up on the status of any claims.
- Ensures weekly safety topics and paperwork are ready to disseminate with weekly payroll checks.
- Assists the safety director with keeping up and logging our SDS manuals for our customers.
- Order and maintain office and breakroom supplies.
- Ensures the breakroom is stocked, organized and tidy.
KNOWLEDGE, SKILLS AND ABILITY:
- Excellent organizational skills and attention to detail
- Proficient with Microsoft Office Suite
- Ability to demonstrate thorough understanding of bookkeeping practices and procedure
- Ability to multitask, set priorities with tasks and meet deadlines
- Ability to communicate professionally through written and verbal communication
- Ability to communicate professionally and effectively with managers, employees, vendors and customers
- Ability to maintain and ensure strict confidence regarding all employee concerns
- Strong computer skills such as typing, system and software knowledge
- Knowledge of wage withholding orders
- Accurate data entry skills with great attention to detail
- Excellent communication skills, both verbal and written, to communicate with employees regarding their issues and concerns

EDUCATION AND WORK EXPERIENCE:
- High School Diploma or equivalent (required)
- At least two (2) years of experience in accounting or bookkeeping (required), construction experience preferred
- At least one (1) year of payroll experience (required), construction experience preferred
- Spanish speaking a plus
