The Catering Event Coordinator plays a crucial role in ensuring the seamless execution of catering events, ranging from small private gatherings to large corporate functions. This position requires a dynamic individual with excellent organizational skills, attention to detail, and strong interpersonal abilities. The primary responsibility of the Catering Event Coordinator is to coordinate all aspects of catering events, from initial client contact to post-event follow-up.
Key Responsibilities:
- Client Communication: Act as the primary point of contact for clients, responding promptly to inquiries, and effectively communicating event details, options, and pricing. Maintain ongoing communication with clients to ensure their needs and preferences are met throughout the planning process.
- Event Planning and Coordination: Collaborate with clients to understand their event requirements, including menu selection, venue preferences, dietary restrictions, and special requests. Coordinate with internal teams, such as chef, culinary staff, and service personnel, to ensure all aspects of the event are organized and executed according to the client's specifications.
- Menu Development: Work closely with culinary teams to develop customized menus tailored to the preferences and dietary requirements of clients. Provide recommendations and creative input to enhance the overall dining experience and meet client expectations.
- Logistics Management: Oversee logistical aspects of catering events, including rentals, transportation, staffing schedules, and setup/breakdown procedures. Ensure all necessary resources are coordinated and available to execute events smoothly and efficiently.
- Budget Management: Assist clients in establishing event budgets and provide transparent pricing estimates based on menu selections, venue requirements, and additional services. Monitor expenses throughout the planning process to ensure events remain within budget constraints.
- Vendor Coordination: Liaise with external vendors, such as florists, rental companies, and entertainment providers, to arrange additional event services as needed. Negotiate contracts, review proposals, and coordinate logistics to ensure seamless integration of external services with catering operations.
- On-Site Management: Supervise event setups, manage vendor arrivals, and oversee service operations during events to ensure quality standards are met and client expectations are exceeded. Address any issues or concerns that arise in real time, providing proactive solutions to maintain a positive guest experience.
- Post-Event Evaluation: Conduct post-event debriefings with clients to gather feedback and evaluate the success of catering services. Identify areas for improvement and implement corrective actions to enhance future event experiences.
Qualifications:
- Bachelor's degree in Hospitality Management, Event Planning, or related field preferred.
- Previous experience in catering, event planning, or hospitality management is required.
- Strong organizational skills with the ability to manage multiple projects simultaneously.
- Excellent communication and interpersonal abilities, with a customer-centric approach.
- Proficiency in Microsoft Office Suite and event management software. Knowledge of and/or proficiency with Caterease is a huge plus.
- Flexible schedule, including availability to work evenings, weekends, and holidays as required.
- Creative problem-solving skills and the ability to thrive in a fast-paced, deadline-driven environment.
