JOB SUMMARY

Ed Partners is looking for a highly organized and proactive Events Coordinator to join our team. In this critical support role, you will work closely with the Events & Operations Supervisor to ensure the smooth and efficient execution of both internal and external events. You’ll manage event logistics, oversee supplies, and attend events across the state that contribute to the success of our programmatic work and the impact we’re hoping to have on California school districts and the kids they serve.

Additionally, you’ll assist with broader operational tasks, including supporting organization-wide events and providing backup support for meeting management and our Program Administrative Assistant. ESSENTIAL DUTIES: 

EVENT PREPARATION & PLANNING :

  • Collaborate with the Events & Operations Supervisor to manage logistics and project planning for all Ed Partners events, ensuring smooth and effective execution.
  • Coordinate logistical needs for programmatic activities, maintaining data accuracy in Salesforce and other platforms.
  • Assist with planning, agenda creation, and material preparation for internal meetings and events.
  • Manage the ordering, inventory, and distribution of Ed Partners branded merchandise.
  • Maintain and update district calendars and team rosters, ensuring alignment with organizational events and schedules.
  • Handle event supply management, including preparation of nametags, print materials, and shipping.
  • Support event management on Eventbrite, including event creation, RSVP tracking, and ensuring up-to-date event details.
  • Ensure accurate and timely updates of event information on the organization’s external website.

EVENT ATTENDANCE & SUPPORT :

  • Travel across the state to attend our events, acting as the onsite point person to coordinate all event logistics for our conferences
  • Coordinate and assist with room setups, breakdowns, and A/V coordination, addressing any onsite issues to ensure successful events.
  • Provide support for virtual events, helping our program staff with logistics preparation and meeting execution.
  • Proactively communicate with our event guests as they arrive, ensuring they receive a warm and professional welcome and smooth experience during the event.

INTERNAL MEETING SUPPORT :

  • Assist in planning and coordinating internal events, such as our annual retreat and holiday gathering, including venue reservations, catering coordination, and event setup/cleanup.
  • Provide backup support for all internal meetings and our Program Administrative Assistant as needed.

OPERATIONS SUPPORT :

  • Offer ongoing support to the operations team by taking on additional tasks and responsibilities, helping to meet the evolving needs of the organization.

QUALIFICATIONS FOR ROLE:

  • Experience in event planning and event execution
  • Valid California driver’s license and the ability to travel to multiple event locations across the state
  • Willingness and capability to travel frequently
  • Excellent communication skills with the ability to effectively and professionally engage with diverse stakeholders
  • High level of professionalism and the ability to represent the organization with integrity and courtesy
  • Strong organizational skills with a high level of attention to detail to ensure the flawless execution of events

COMPENSATION:

  • The pay range for this position is $37 - $40 per hour DOE ($77,000 - 83,000 per year)
